Standardize onboarding before the first incident

Agency reliability starts with a consistent inventory. Record each site's owner, business purpose, hosting contact, domain, WordPress and PHP versions, critical plugins, commerce status, backup location, maintenance window, and escalation contacts. Pair a least-privilege connector per website rather than sharing reusable administrator or hosting passwords across the team.

Collect a baseline heartbeat and software inventory after connection. Confirm that cron, REST health, filesystem access, local restore creation, and emergency components behave as expected. A site that has never completed a baseline should not be represented as fully protected.

Turn alerts into an operating queue

Group findings by website and severity. A malware indicator, fatal error, database failure, expired connector, available update, and delayed cron task require different urgency and expertise. Assign an owner and next action instead of leaving a dashboard full of unacknowledged warnings. Use the same five stages for every material repair: analyze evidence, protect with a restore point, run an allowlisted action, verify independently, and recover when verification fails. This creates predictable work for technicians and a clear explanation for clients.

Make accountability part of the service

Separate owner, administrator, developer, support, viewer, and billing responsibilities so each person sees and changes only what their role requires. Preserve command results, repair stages, alerts, verification, rollback, and timestamps in an audit history. Reports should describe outcomes and unresolved risk rather than count routine clicks.

Review the fleet regularly for disconnected sites, outdated software, missing restore points, recurring incidents, and failed verification. A mature maintenance plan does not promise that every WordPress failure is automatically repairable; it gives the agency faster detection, safer actions, stronger evidence, and a professional escalation path.
